Using the Expense Agent in the Continia Expense App and Portal

You can speed up expense creation with the Expense Agent. Add one or more receipts, choose how you want the expenses organized, and let the Expense Agent process them for you.

The Expense Agent does the following:

  • Captures information, including the merchant, date, amount, and currency
  • Suggests an Expense Type based on the receipt information and the Expense Types available to you
  • Creates individual expenses
  • Creates a new Expense Report containing the expenses
  • Adds expenses to an existing Expense Report
  • Processes multiple receipts at the same time

You are in control throughout the process and review the created expenses and complete any required information before submitting them.

The Expense Agent is available in both the Continia Expense App and the Continia Expense Portal at no additional cost and is activated by default.

Use the Expense Agent in the Expense App

To create expenses using the Expense App:

  1. In the Expense App, tap Agent.
  2. Choose how you want the expenses created and tap one of the following options. Depending on your setup, the options available may vary.
    1. Create individual expenses - the agent creates a separate expense for each receipt.
    2. Create a new expense report - the agent creates a new expense report and adds the expenses to it.
    3. Add to an existing expense report - the agent adds the expenses to an expense report that you've already created.
  3. Next, add receipts using one of the following options:
    1. Add from camera - take a new photo of a receipt.
    2. Add from camera roll - select an existing receipt image from your device.
    3. Add from files - select a receipt stored as a file on your device.
    4. Add from receipts - select receipts previously uploaded to the Receipts list.
  4. Tap Process.

The Expense Agent processes the receipts. You are free to leave the Agent page and continue working in the Expense App while this takes place.

Use the Expense Agent in the Expense Portal

To create expenses via the Expense Portal:

  1. In the Expense portal, click Agent.
  2. Add your receipts using one of the following options:
    1. Drag and drop the files into the upload area.
    2. Click in the upload area to browse for files.
  3. Click Add from receipts to attach receipts previously uploaded to the Receipts list.
  4. Under How would you like to create expenses? select one of the following options. Depending on your setup, the options available may vary.
    1. Create individual expenses - the agent creates a separate expense for each receipt.
    2. Create a new expense report - the agent creates a new expense report and adds the expenses to it.
    3. Add to an existing expense report - the agent adds the expenses to an expense report that you've already created.
  5. Click Process.

The Expense Agent processes the receipts. You are free to continue working in the Expense Portal while this takes place.

Follow the processing status

The Agent overview displays the receipts currently being processed and those that are ready for review. Receipts that are processed together, display as a group. When processing completes, the overview displays information such as the processing time and the identified merchant.

To open the newly created expense or expense report:

  • Click or tap View

If a receipt can’t be processed:

  • Click or tap the group to to identify the affected file and try again

Review the created expenses

When the Expense Agent completes, it suggests information based on the receipt and your organization’s Expense Management setup.

Before submitting an expense or expense report, check the relevant information, including:

  • Date
  • Amount
  • Currency
  • Expense Type
  • Payment Type
  • Description
  • And any additional fields required by your organization

Correct or complete the information if needed, then submit the expense or expense report using the normal workflow.

Note

If the suggested Expense Type is not correct, select the correct Expense Type before submitting the expense.

Activating or disabling the Expense Agent

You can request to have the Expense Agent disabled. Disabling the Agent stops it from capturing receipt information and suggesting an Expense Type. However, it does not remove the Agent from the Expense App or Expense Portal.

If you disable the Agent, you can still create multiple individual expenses or an expense report by adding receipts and manually entering the following information:

  • Date
  • Amount
  • Currency
  • Expense Type
  • Payment Type
  • Description
  • Any additional fields required by the organization

The Expense Agent can do more message remains visible when you opt out of using the Agent as it informs users that additional Agent capabilities can be activated.

To request that the Agent be disabled:

  • Contact your Continia partner. The partner must open a Continia Support ticket requesting the Agent be disabled.

AI and your data

When the Expense Agent is activated, it uses Microsoft Foundry models hosted in Microsoft Azure to generate suggestions. Data processed using models sold by Microsoft Azure isn’t made available to OpenAI and isn’t used to train generative AI foundation models.
