Use a vendor as a posting account type on card transactions
With Expense Management, it's possible to post card transactions to a vendor. However, when doing that, you must keep in mind that there are a couple of things you then can't do, for example:
- You can't use expense reports.
- You can't post to the general journal, as all documents (expenses, mileages, per diems) will instead be posted as purchase invoices. The system will create purchase invoices, with an OPEN status which must be approved and posted afterwards. Then a purchase invoice will be created for the bank/vendor for all expenses connected to card transactions, and all mileages, per diems, and cash/private expenses will create a purchase invoice for each Continia user (their vendor).
Set a vendor as a posting account type on card transactions
To set a vendor as posting account type on card transactions:
- Search () for and select Setup (Continia Expense Management).
- Under General > Modules, click in the Expense Report field.
- On the Expense Report Setup card, under General > In the Enable Expense Report field, choose Disabled.
- Click Close.
- Back on the Setup card, under Purchase Document Posting, click in the Expense Posting field.
- Choose Preferable Purchase Invoice from the dropdown menu. If you encounter the popup message:
When enabling "Preferable Purchase Invoice", you are disabling "Post Card Transactions on Import.". Do you want to continue?
Click Yes (it'll disable posting at import).
Change the posting account type
Now you need to change the posting account type for the payment type that you want to use a vendor for as a posting account:
- Go to Payment Types (Continia Expense Management).
- Select the payment type that you want to use a vendor for as a posting account.
- Under Posting, click in the Method field and choose Post on a Business Account.
- Under Posting Account, click in the Type field and choose Vendor.
- In the No. field, choose a business vendor via lookup.
