Importing CSV files into the Payment Reconciliation Journal

You can use a CSV port to import a CSV or Excel file into the *Payment Reconciliation Journal*, for example a settlement file from a marketplace or a bank statement in CSV format. The *Import Target* of the CSV port determines what the file contains and how Continia Banking handles it:

  • Transactions - the file contains payments that you want to reconcile with open entries. Fees in the file can be imported as charges on the payment lines.
  • Account statements - the file contains a bank statement. Continia Banking handles the file in the same way as an imported bank statement.

When the journal is empty, you can import both types. After the first import, you can import only the same type into the journal. If you import the other type, Continia Banking doesn't create any lines. Use a new journal instead.

Note

The Import CSV group is available in version 29.0.0 or later. In earlier versions, use the Import CSV Payments action to import a file.

Prerequisites

Before you import a CSV file, make sure that:

  • The CSV port is set up. For more information, see Setting up CSV ports.
  • The bank account is set up for the CSV port. For more information, see Setting up bank accounts for CSV ports.
  • A bank account with the same currency as the transactions in the file exists.

To import a CSV file

  1. Search () for and select Payment Reconciliation Journals.

  2. Open the journal that you want to import into. To create a journal, select New Journal, and then select the bank account.

  3. On the action bar, select Home, and then in the Import CSV group, select one of the following actions:

    • Import and Apply CSV Transactions - imports a CSV file that you select, creates the journal lines, and applies the lines to open entries.
    • Import New CSV Transactions - imports a CSV file that you select and creates the journal lines. The lines are not applied.
    • Import Existing CSV Transactions - creates journal lines from CSV data that was imported earlier but isn't in a journal yet. The action uses all CSV ports that are set up for the bank account. You don't have to select a file.

    Note

    Import New CSV Transactions and Import Existing CSV Transactions are available when you select Page > Show More Actions. The Import CSV group is available only if the bank account is set up for at least one CSV port.

  4. In the Import CSV File dialog, in the CSV Port field, select the CSV port. The lookup shows only the CSV ports that are set up for the bank account. If only one CSV port is set up, Continia Banking fills in the field. Select OK.

  5. Select the file that you want to import. The file must match the file format of the CSV port.

  6. In the Bank Accounts and Currencies dialog, fill in the following fields, and then select OK. The dialog opens every time you import a file, also when the file contains only one currency, because a journal belongs to one bank account and a bank account has one currency.

FieldDescription
Currency CodeShows a currency code that is found in the file. The line for the local currency has a blank currency code.
Bank AccountRequired. Select the bank account to import the transactions of the currency into. You can select only bank accounts that have the same currency as the line and a bank code. Continia Banking fills in the field if only one bank account is available, or suggests the bank account that you used last time with the same CSV port and currency, or the bank account of the journal that you are working in.
Statement No.Select the payment reconciliation journal of the bank account. The field is available only for CSV ports with the import target Transactions. Continia Banking suggests the journal that you used last time with the same CSV port and currency, or the journal that you are working in.

Note

Continia Banking saves your selections for each user, CSV port, and currency, and suggests them the next time you import a file.

Continia Banking converts the file, saves it in the file archive, and stores the data for each selected bank account. It then creates journal lines for the bank account of the journal that you are working in. If you selected Import and Apply CSV Transactions, Continia Banking also applies the lines to open entries. To prevent duplicate imports

Continia Banking identifies a file by the Header Message ID of the CSV port, or by the hash value of the file if the port has no header message ID. The identification also includes the currency of the bank account. When you import a file that was imported before, the Handle Existing Records field of the CSV port determines what happens:

  • Skip - Continia Banking doesn't import the file again.
  • Replace - Continia Banking deletes the existing data and imports the file again. If lines of the earlier import are already imported to a journal, Continia Banking skips the file.

To review the imported lines

In the journal, you can use the following actions on the imported lines:

  • Details - shows the internal texts that were imported with the line.
  • Charges - shows the fees that were imported as charges on the line.
  • Show Bank Transaction - shows the imported data.
  • Delete and set as Imported - deletes the selected lines and marks the data as imported, so that it can't be imported again.
