Setting up search rules for common scenarios in Continia Banking
Search rules can be configured for a wide range of scenarios. This article describes how to set up a search rule for several common cases.

To set up a search rule that matches partial text
Use this approach when the search text appears as part of a larger string on the bank statement line, for example, a transaction reference that always includes the word Subscription.
- Search (
) for and select Search Rules. - On the action bar, click New.
- In the Search Text field, enter the partial text to match.
- In the Search Method field, select Contains. This option helps to find the search text anywhere in the field on the reconciliation line.
- Complete the remaining mandatory fields, as described in Setting up a search rule in Continia Banking.
The rule matches whenever the search text appears anywhere in the fields covered by the assigned search field template.
To set up a search rule that matches exact text
Use this approach when the search text must match the field on the bank statement line in full.
- Search (
) for and select Search Rules. - On the action bar, click New.
- In the Search Text field, enter the exact text to match.
- In the Search Method field, select Exact.
- Complete the remaining mandatory fields, as described in Setting up a search rule in Continia Banking.
The rule only matches when the field on the bank statement line is identical to the search text.
To set up a search rule with multiple texts
Use this approach when a single rule should match more than one search text, for example, several variants of the same supplier name.
- Search (
) for and select Search Rules. - Open the rule you want to extend, or create a new rule.
- In the Search Text field, enter the first search text and select a search method.
- On the action bar, click Add additional search texts.
- On the Additional Search Texts page, for each additional text, define:
- The search text
- The search method
- The search field template
For the rule to be applied, all defined search texts must be found. Additional search texts are shown in a FactBox on the Search Rules list and card.
To set up a search rule for a specific bank account
Use this approach when a rule should only apply to bank statement lines from one specific bank account.
- Search (
) for and select Search Rules. - Open the rule you want to scope, or create a new rule.
- On the Rule Filter FastTab, in the Bank Account field, select the bank account the rule should apply to.
When no bank account is specified, the rule applies to all bank accounts.
To set up a search rule for debit or credit amounts
Use this approach when a rule should only apply to incoming or outgoing transactions.
- Search (
) for and select Search Rules. - Open the rule you want to scope, or create a new rule.
- On the Rule Filter FastTab, in the Amount Filter field, select one of the following options:
- **Positive Only ** - the rule applies only to lines with positive amounts (credit).
- **Negative Only **- the rule applies only to lines with negative amounts (debit).
- All - the rule applies to every line, regardless of the amount.
To set up a search rule for a specific statement type
Use this approach when a rule should only apply to a specific statement format, such as CAMT.053 or CAMT.054.
- Search (
) for and select Search Rules. - Open the rule you want to scope, or create a new rule.
- On the Rule Filter FastTab, in the Statement Type Filter field, select the statement type the rule should apply to.
When no statement type is specified, the rule applies to all statement types.
To set up a search rule that posts to a different account than the transaction suggests
Use this approach when the rule should apply based on search text alone, even if a bank transaction code rule has already suggested a different account type for the line.
- Search (
) for and select Search Rules. - Open the rule you want to configure, or create a new rule.
- On the General FastTab, enable Ignore Account Type. Click Show more if the toggle is not visible.
When this toggle is on, the rule matches a bank reconciliation line regardless of the account type already assigned to that line.
To set up a search rule that creates journal lines automatically
When you use Bank Account Reconciliation, the Create Journal Line Method setting controls whether a journal line is created automatically when the rule matches, or whether the user must trigger creation manually.
The setting is multi-level. The default is set on the Banking Import Setup page, and an individual search rule can override it. If you leave the field blank on the search rule, the rule inherits the default from the setup.
- Search (
) for and select Search Rules. - Open the rule you want to configure.
- In the Create Journal Line Method field, select one of the following:
- Automatic - a journal line is created automatically when the rule matches.
- Manual - the user must trigger journal line creation by clicking Create journal line from search rule on the Payment Application Review page or the Bank Account Reconciliation page.
- Leave blank to use the default from the Banking Import Setup page.
To set up a search rule that handles amount differences
Use this procedure when matched transactions may have small amount differences that should be automatically posted to a dedicated account instead of being handled manually.
You can configure amount difference handling either globally on the Banking Import Setup or specifically on individual search rules. Search rules allow more granular control by defining dedicated accounts and posting descriptions per rule. If an amount difference account is specified, the system can automatically handle differences without user interaction.
- Search (
) for and select Search Rules. - Open the rule you want to configure.
- In the Amount Difference fields, specify the account type and account number that should be used to post any differences. This allows the system to automatically handle small discrepancies during matching.
- (Optional) Define a Posting Description Template to control how entries for amount differences are described.
- Ensure that the selected account allows direct posting if you use a G/L account.
When this is configured:
- Any matched transaction with a small amount difference is flagged with the status Difference.
- If an amount difference account is defined, the system can automatically post the difference without requiring user interaction (depending on setup, such as disabling the dialog).
- The difference is transferred to a journal or reconciliation line and posted along with the related entries.
