Configuring vehicle number registration

You can enable expense users to add license plate numbers to any mileages they create using the Continia Expense App and the Continia Expense Portal. This may, for example, be required by law in your jurisdiction or by your own organization.

After you've enabled license plate registration as an admin, expense users can easily add license plate numbers to their mileages as described below.

To enable license plate registration (admin)

As an admin, follow these steps to make the Vehicle reg. no. field available to expense users:

  1. Search Search for and select Configured Fields.

  2. In the Field Code column of the table, click Mileage.

  3. On the action bar, click Create Field Type.

  4. Use the Create Field Type wizard:

    1. Click Next.
    2. Enter the Code (for example, VRN), Description (Vehicle Registration Number), Data Type (choose Text from the dropdown menu), leave the Length field set to 100.
    3. Click Next.
    4. (Optional) If you want to add translations into other languages:
      1. Click the three dot menu > New Line.
      2. In the Language Code cell, click the three dot menu (...), then click the language you want to include, and OK.
      3. In the Translation cell, enter the translation for the field type description.
  5. Review the Summary, then click Finish.

  6. On the action bar of the Configured Fields page, click Force Synchronize with Continia Online.

Your changes are now automatically synchronized with Continia Online, and the Vehicle reg. no. field is available to expense users in the Expense App and the Expense Portal.

To add a license plate number to a mileage (expense user)

You can add license plate numbers to mileages in either the Expense App or the Expense Portal. Both of these methods are described below.

Expense App

As an expense user, follow these steps to add a license plate number to a mileage in the Expense App:

  1. Select New Mileage to create a mileage. The Mileage page opens.
  2. Fill in the necessary details, and select Vehicle reg. no. to open the Vehicles page.
  3. In the upper-right corner, select Add to add a vehicle, and then fill in the details:
    • Vehicle reg. no.: Enter the license plate number of the relevant vehicle.
    • Description: If necessary, enter a free-text description of the vehicle to help you identify it later.
    • Default vehicle: Toggle the switch if you want this vehicle to be the default. This ensures that the vehicle's license plate number is automatically added to Vehicle reg. no. on the Mileage page for all future mileages you create.
  4. In the upper-right corner, select Save to save your changes and return to the Vehicles page.
  5. Select the vehicle you've just added. This will close the page and add the license plate number to the Vehicle reg. no. field on the Mileage page.
  6. Swipe the Submit button to submit the mileage.

The mileage will now be submitted, and the added license plate number will be visible in Continia Expense Management, under Vehicle Registration No. on the General FastTab of the Mileage Card, once you synchronize with Continia Online.

Expense Portal

As an expense user, follow these steps to add a license plate number to a mileage in the Expense Portal:

  1. On the blue ribbon at the top, select Mileage.
  2. In the upper-left corner, select New to create a mileage.
  3. Fill in the necessary details, and enter the license plate number of the relevant vehicle under Vehicle Registration No.
  4. In the action bar, select Submit to submit the mileage.

The mileage will now be submitted, and the added license plate number will be visible in Continia Expense Management, under Vehicle Registration No. on the General FastTab of the Mileage Card, once you synchronize with Continia Online.
