Configuring specific expense types to require attendees as mandatory

To ensure compliance, transparency, and accountability, companies often have specific rules for how certain types of expenses are recorded. For example, client meals, business entertainment, or team events, may require attendees. Configuring such a rule means you can track who attended such events, and supports more accurate reporting and analysis. It can demonstrate that the expenses serve legitimate business purposes, satisfy tax and audit requirements, and align with internal spending policies.

If your organization's expense management policy includes requiring attendees to be listed as mandatory for particular expense types, then this is a field that you can configure in Business Central.

To enable attendees for a specific expense type:

  1. Search for Search Expense Types.
  2. In the Expense Types table > Attendees Required column, select the checkboxes for the expense types where attendees are required.
  3. Search for Search Field Type Dependencies.
  4. On the action bar, click Field Type > Configured Fields.
  5. On the Configured Fields table > Hide visibility by default column, select the checkbox for the Attendees field. This hides the attendees field for all other expense types not requiring attendees to be added.
  6. Search for Search Force Synchronize with Continia Online to push the changes to users' devices.
