Using on-hold in Expense Management approvals

This article is for Approvers.

The On-Hold feature allows approvers to temporarily flag an expense document for follow-up without interrupting the approval workflow. This is useful when additional clarification or documentation is required, but the approver does not want to approve or reject the document immediately.

Place a document on hold

Approvers can place a document on hold from Business Central or via the Continia Web Approval portal

Business Central

  1. In Business Central, search (Search) for and select Expense Management Approval Entries.
  2. Select the document you want to put on hold.
  3. On the action bar, click On-Hold.

The Continia Web Approval Portal

  1. In the Web Approval Portal, open the document that you want to put on hold.
  2. On the action bar, click Put on hold.

Use on-hold in your workflow

Regardless of which method you chose to put a document on hold, the next stage takes part in Business Central. On the Expense Card, under General, your initials will appear in the On-Hold field. This allows bookkeepers and other reviewers to see at a glance who placed the document on hold.

To record the action, a comment including relevant details (see the following example) is also automatically added to the Comments section at the bottom of the document itself.

Note

Putting a document on hold does not prevent further processing. The document can still be approved, reopened, force-approved, and posted. The on-hold functionality is intended as an internal marker for follow-up, not as a workflow blocker.
