Applying payment proposals
This article explains how to apply payment application proposals individually or in bulk in both Bank Account Reconciliation and the Payment Reconciliation Journal. You apply all proposals on the Payment Application Review page. The results differ slightly depending on the reconciliation experience::
- Bank Account Reconciliation - applying a proposal creates a journal line and updates the status to Pending Journal. You must post the journal line to complete the reconciliation.
- Payment Reconciliation Journal - applying a proposal sets the status directly to Completed. No additional posting is required.
To apply proposals in the Bank Account Reconciliation
- On the Bank Account Reconciliation page, click Home > Application Proposals.
- In the Payment Application Proposals subpage, locate the proposal you want to apply and apply the proposal by doing any of the following:
- Select the Applied checkbox.
- Edit the Applied Amount field.
- Choose Apply Proposal in the action bar.
- The system validates the amount and updates the reconciliation status to Pending Journal.
- Post the created journal line:
- Navigate to the relevant journal (Cash Receipt, General, or Payment Journal) via the Journals tab.
- Review and post the journal line.
- Once the journal is posted, the reconciliation status updates to Completed.
To apply proposals in the Payment Reconciliation Journal
- On the Payment Reconciliation Journal, click Home > Application Proposals.
- In the Payment Application Proposals subpage, locate the proposal you want to apply and apply the proposal by doing any of the following:
- Select the Applied checkbox.
- Edit the Applied Amount field.
- Choose Apply Proposal in the action bar.
- The system validates the amount and updates the reconciliation status directly to Completed.
Hinweis
If none of the proposals seem correct, you can switch to the Ledger Entries view using the Show Ledger Entries action and manually search for the correct entry.
To partially apply a proposal
You can apply only part of a proposal amount, leaving the remainder open for future application. This is supported in both Bank Account Reconciliation and Payment Reconciliation Journal.
- Open the Payment Application Review page for the relevant statement or journal line.
- In the Payment Application Proposals subpage, locate the proposal you want to partially apply.
- In the Applied Amount field, enter the amount you want to apply (less than the full proposal amount), or select the Applied checkbox.
- The system updates the reconciliation status for the applied amount and leaves the remaining amount open for future application.
- For Bank Account Reconciliation, post the created journal line for the applied amount as usual.
When you apply a payment application proposal, the Account Type and Account No. fields are assigned to the bank statement line.
Hinweis
Both methods produce the same result. Use whichever method you prefer. Applying a proposal does not post the payment to the ledger. It only creates the application. You must post the reconciliation to post the payment.
To apply a proposal with a payment discount
- Open the Payment Application Review page for the line.
- Navigate to the proposal you want to apply.
- Review the Pmt. Discount Date and Remaining Pmt. Disc. Possible fields.
- The Applied Pmt. Discount field shows the default discount:
- If the payment is within the discount date, the full discount is applied by default.
- If the payment is after the discount date, no discount is applied by default.
- To accept a payment discount after the discount date:
- Select the Accepted Pmt. Disc. Tolerance checkbox.
- The system applies the discount if within the tolerance date.
- The Totals section updates to show the total payment discount.
- Apply the proposal.
Hinweis
Use Show More Columns to see more fields related to tolerances, discounts, and currencies when working with proposals. This helps verify amounts when applying.
