Setting up customers using eCandidates

The eCandidates feature makes it easy to set up customers for Document Output, so that their network connection settings match the settings configured on your end. It offers automatic discovery and network registration of participants, and identified participants can then be connected individually or in batches, which considerably speeds up the process.

Hinweis

An eCandidate is any potential customer or vendor that may be able to receive electronic documents from you. For Continia Document Output, eCandidates are always customers.

To use the eCandidates feature, certain important prerequisites must be met first. Before using the feature, you should also enable a feature that automatically checks if customers can receive electronic documents from you.

Important prerequisites

To use the eCandidates feature, you must have a participation in the Continia Delivery Network. A participation is an organization's or legal entity's registration in the Continia Delivery Network that enables that organization or legal entity to send and receive documents using the Continia Delivery Network. For more information, see Setting up the Continia Delivery Network.

You must also link all relevant output profiles to your participation. To do this, follow these steps:

  1. Search (Search) for and select eDocument Setup.
  2. In the list of eDocument send codes, select the one you want to link to your participation, for example PEPPOLBIS3 or XRECHNUNG2. The corresponding E-Document Setup Card opens.
  3. On the Continia Delivery Network FastTab, go to Participation.
  4. Select the field to open a list of available participations, and then select the one you want to link to the eDocument send code you selected in step 2 above.
  5. Repeat steps 2-4 for any additional eDocument send codes you want to link to your participation.

The selected eDocument send codes – and their corresponding output profiles – are now linked to your participation (via eDocument setup codes), and you're ready to use the eCandidates feature to set up customers.

Hinweis

If there are many customers linked to your company, checking if they have active registrations in the supported networks can be time-consuming. To speed up this process, follow the instructions under Checking a customer's receiving capabilities below.

Checking a customer's receiving capabilities

With Continia eDocuments, you can check if the customers that you do business with are capable of receiving electronic documents from you.

To enable this feature, follow these steps:

  1. Search (Search) for and select Continia eDocuments Setup.
  2. On the Automations FastTab, enable the Update Documents Receiving Capabilities setting.
  3. The status of Update Documents Receiving Capabilities changes to Ready, indicating that the task responsible for updating the eDocuments participation cache is running.

Enabling the above setting creates a job queue entry (codeunit 6225523 CTS-CDN Upd. eDoc. Rec. Capab.) that checks if customers can receive electronic documents – and if so, which documents they can receive. You can also set this job queue up manually by following the guide in Setting up Job Queues.

Hinweis

No matter which of the above methods you choose, you must have the necessary permissions to create job queue entries.

Additionally, if you attempt to send an electronic document to a customer who's unable to receive it, an error is shown to indicate why. For example, the receiver might not be registered on the network.

Using eCandidates to set up customers

To automatically set up customers using the eCandidates feature, follow these steps:

  1. Search (Search) for and select eCandidates.

  2. If you don’t see any eCandidates in the table, click Refresh List on the action bar.

    If you still don’t see any eCandidates in the table, click Show all eCandidates to list those who are currently not registered in any of the networks you participate in.

  3. Before selecting a connection method, check the values under the Network Registrations column – as you might have eCandidates registered in different networks.

  4. To set up a single eCandidate or a limited number of eCandidates, do as follows:

    1. In the list of eCandidates, select the one(s) you want to set up, and then click Connect on the action bar.
    2. The Connect eCandidates dialog opens. In the Output Profile field, select the output profile you want to use for the selected eCandidate(s).
    3. In the Identification Type field, check the displayed type and change it if necessary.
    4. Click OK when you're done.
  5. To batch connect all or a large number of eCandidates in one go, do as follows:

    1. On the action bar, click Batch Connect to open the Connect eCandidates dialog.
    2. In the Output Profile field, select the output profile you want to use.
    3. Click OK when you're done.

    Wichtig

    When you connect eCandidates in Document Output, it's important to manually pick the correct output profile for a given customer. It's not possible to automatically link the output profile with the receiving capabilities of the customer. This is particularly important when you use Batch Connect. If multiple output profiles are needed (for example, if a subset of your customers can receive XRechnung documents, while another subset can receive Peppol documents), you should filter the list of eCandidates, for example by country code. Batch Connect only includes eCandidates within the filtered list.

The selected or included eCandidates – that is, customers – are now connected and set up, and their individual status changes to Connected, meaning that they disappear from the list of eCandidates. To view them and check their status, go to the action bar and click Show all eCandidates. You can easily return to the default list view, which is filtered to display only eCandidates with the status Can Connect, by clicking Show actionable eCandidates on the action bar.

Tipp

To quickly look up a customer, select it and click Show Customer on the action bar to open the related card. Here, you can see that the output profile of any connected customer has changed to reflect the fact that the customer is connected.

Note that the look of the Connect eCandidates dialog that's mentioned in steps 4-5 of the guide above varies depending on which Continia solutions you have. This article is based on a setup with only Document Output, whereas the video below is based on a setup with both Continia Document Capture and Document Output.
