Setting up Environmental Data Sources

With Continia Sustainability, you can customize filters to import specific data types. For example, you could choose to import only lines related to purchases from the Item Ledger Entry, and accounts starting with '123*'. You can import environmental data from a variety of sources into your financial systems. Besides registering emission data on invoices and purchase orders, you can also import data from a table within the system.

With the Environmental Data Sources functionality, you can set up and import data lines into journals automatically, eliminating the need for manual entry. Available sources include General Ledger Entries, Item Ledger Entries, Purchase Invoice Lines, and Purchase Credit Memo Lines.

This article outlines an efficient approach to importing data from environmental data source tables, ensuring accuracy and completeness in sustainability reporting.

To set up Environmental Data Sources

To set up Environmental Data Sources:

  1. Use the Search icon, enter Environmental Data Sources and select the related link.

  2. On the action bar, select New to add a new data source.

  3. On the Environmental Data Sources page, in the Source Table column, select the source of your data to import and apply the preferred filters in the Table Filters column.

  4. Then in the No. of database record, you can view the number of lines that will import into the related journal.

To set up Environmental Data Sources in the Environmental Accounts card

Alternatively, you can set up environmental data sources directly in the Environmental Accounts card.

To set environmental data sources in the environmental account card:

  1. Use the Search icon, enter Environmental Accounts, and select the related link.
  2. Select and open the relevant environmental account from the list.
  3. On the Data Source FastTab, go to the Data Source Table field, and select Set up new data sources.
  4. On the Environmental Data Sources page, you can now select the following:
  • Source Table - Select G/L Entry, Item Ledger Entry, Purch. Inv. Line, or Purch. Cr. Memo Line.
  • Table Filters - on the Environmental Data Source Filters page, you can use filters to decide what to import. For example, you can set which G/L Account No you want. You can also filter on date, department, source code, and so on.
  • No. of Database records - displays the number of records found according to the source table selected and the filters set. Select the number to open the G/L Entries, the Posted Purchase Invoice Lines, and so on depending on the source table that you selected.

To import data sources into the journals directly

You can also choose to import data sources to the journals directly.

To import the data in the Environmental Journals:

  1. Use the Search icon, enter Environmental Journals, and select the related link.
  2. On the action bar, select Home > Import Data > Import all journals or Import to selected journals. Based on the data source and filters applied, the system will import in the relevant journals all relevant lines.

Now you can review imported data and complete it with environmental data if necessary, or visualize the emissions related to each line.

Warning

You should make sure there are no duplicate environmental data sources in the list. If duplicates exist, the system might import the same data multiple times, which could lead to double-counting emissions.
