Setting up email access for external or guest users

In Microsoft Entra, the format of a user’s login name often indicates how that identity was created and where it comes from.

External users (also known as guest users) either have the #EXT# marker in their email address or a display name such as 'External Technician'. In contrast, system‑generated internal accounts are usually formatted as User_xxxxyyyyyzzzzzzz (e.g.: User_42b52c51af123ecsk8a4@tenant.onmicrosoft.com).

When you create a Continia user account for an external user in Microsoft Dynamics 365 Business Central, the email exported to Continia Online is shown on the User Card, in the Authentication Email field under the General FastTab. If this field contains the term Technician or an email with #EXT# in it, it results in failed login attempts in the Continia Web Approval Portal and Continia Expense App.

To correctly set up email access for external or guest users:

  1. Search (Search) for and select Continia Users.
  2. In the top-right corner, click Settings (Settings) > Personalize.
  3. On the Personalizing action bar, click + Field and drag the Office 365 Authentication Email field from the Add Field to Page sidebar into the Continia Users table.
  4. On the Personalizing action bar, click Done.
  5. Add the user's actual email address (i.e.: not the address with #EXT#) to the Office 365 Authentication Email.
  6. On the action bar, click Export Users > OK.
